Privacy policy

Effective July 19, 2026. This policy explains what personal data we process, why we use it, who may receive it, and how to exercise your rights.

1. Who this policy applies to

This Privacy Policy applies to visitors, customers, organization members, publishing contacts, journalists, applicants, partners, and other people who interact with NEN Digital websites, forms, workspaces, communications, and publishing services. NEN Digital acts as the personal information controller for data it determines how and why to process.

2. Personal data we collect

Depending on your interaction, we may collect name, email address, phone number, company and role information, account identifiers, organization membership, profile image, billing contact details, subscription and transaction references, submitted enquiries, resume or portfolio links, content and media you provide, publication records, communication preferences, support history, device and browser information, security logs, approximate location derived from network information, and product usage or analytics events.

3. Why we process personal data

We process personal data to create and secure accounts; provide organization workspaces; review, publish, distribute, and measure press releases; process subscriptions and billing; deliver service and security notifications; respond to enquiries, applications, and partnership proposals; prevent fraud and abuse; maintain audit and compliance records; improve performance and accessibility; enforce our policies; and meet legal, regulatory, accounting, and contractual obligations.

4. Sources and lawful grounds

Data is usually provided directly by you or an authorized organization administrator. We may also receive limited account, payment, delivery, analytics, or verification data from configured service providers and public professional sources. Processing may be necessary to perform a contract, take requested pre-contract steps, comply with legal obligations, protect legitimate interests such as security and service improvement, or act on consent where consent is the appropriate basis.

5. Payments

Payment card details are entered into the selected payment provider experience and are not intended to be stored by NEN Digital. We retain provider customer, subscription, invoice, payment, refund, and status references needed to reconcile billing, provide history, prevent duplicate processing, handle support, and meet accounting obligations. Available providers may include Stripe and PayMongo when enabled by an administrator.

6. Publishing and public information

Approved press releases, company profiles, author information, corrections, distribution results, and related media may be intentionally published on public pages and indexed by search engines. Do not submit personal or confidential information that is not necessary for publication. Removal or correction requests are assessed against contractual, editorial, public-interest, archival, and legal requirements.

7. Service providers and recipients

We may share data with providers that support identity and access management, hosting, databases, storage, payment processing, email delivery, analytics, error monitoring, security, customer support, and distribution. Access is limited to what is reasonably necessary for the service. Data may also be disclosed to professional advisers, authorities, or affected parties where required by law, needed to protect rights or safety, or involved in a legitimate business restructuring.

8. International processing

Some configured providers may process data in countries outside the Philippines. Where this occurs, we use appropriate contractual, organizational, and technical safeguards and remain accountable for selecting and managing processors consistent with applicable data-protection requirements.

9. Cookies and similar technologies

The platform uses essential browser storage and cookies for authentication, security, session continuity, preferences, and fraud prevention. Analytics technologies may be enabled to understand product and website performance. Browser controls can limit optional technologies, but blocking essential storage may prevent account and checkout features from working.

10. Retention

We retain personal data only for as long as reasonably necessary for the stated purpose, an active account or contract, dispute and fraud prevention, financial and audit requirements, security investigation, publishing history, or applicable law. Retention periods vary by record type. Data that no longer needs to identify a person may be deleted, anonymized, or aggregated.

11. Security

We use role-based access controls, encrypted secrets, secure transport, signed webhooks, audit logs, least-privilege administration, provider verification, rate limiting, backups, and operational monitoring where configured. No system can guarantee absolute security. Please report suspected unauthorized access or security incidents promptly.

12. Your privacy rights

Subject to applicable law and valid exceptions, you may ask to be informed about processing, access your personal data, correct inaccurate data, object to certain processing, withdraw consent where processing relies on consent, request erasure or blocking, request portability where applicable, and file a complaint with the National Privacy Commission. We may need to verify identity and authority before fulfilling a request.

13. Children

The customer platform is intended for organizations and people legally able to enter into service agreements. It is not designed for children to create independent paid accounts. If you believe a child submitted personal data without appropriate authority, contact us so we can review it.

14. Changes and contact

We may update this policy when services, providers, or legal requirements change. Material updates will be posted with a revised effective date and communicated through the platform where appropriate. Privacy requests and questions may be sent to info@nendigital.com.
